Dear Ms Rao,

Application for the post of Accounts Trainee

I am writing to apply for the Accounts Trainee post advertised on your careers page. I completed my B.Com in Accounting and finance at Pune City College of Commerce this year with 78%, and I would like to begin my career in a finance team like yours.

During a three-month internship at R. Deshpande & Associates, I prepared GST returns for 12 small business clients and reconciled bank statements in Tally Prime. Checking 400 purchase invoices before the year-end audit taught me to be careful, and to ask early when something does not match.

I am at home in Excel for reconciliations and reports, and I learn new software quickly. I would be glad to support your team with month-end work, vendor payments and GST filings while I learn.

Thank you for considering my application. I would welcome the chance to meet you and discuss how I could contribute to Westfield Logistics.

Yours sincerely,

Sneha Kulkarni

The people, companies and numbers in this example are invented.

What makes it work

  • The job in the first line. She names the post and where she saw it, then her degree and her marks. The reader knows at once what the letter is for.
  • One paragraph of proof. Her internship paragraph gives two things she did, with numbers, and what she learned from them.
  • What she would do for them. The third paragraph ties her skills to the team’s work: month-end, vendor payments, GST filings.
  • A short, polite close. She thanks the reader and asks to meet, without going over the letter again.
  • A subject line. Indian letters usually have one before the greeting, so the letter is easy to file.

Make it yours

  • Write to the person who is hiring, if the advert or the company’s website names them. “Dear Sir/Madam,” is the fallback.
  • Name the post exactly as the advert does.
  • Keep it to one page. Three or four short paragraphs are enough.
